How long does an office relocation take?
A full relocation, from needs analysis through building selection and negotiations to design and fit-out, takes up to 18 months. It is worth starting the process 12-18 months before your current lease expires, so that you keep a genuine alternative and avoid making decisions under time pressure.
What does an office relocation in Warsaw involve?
Warsaw is the largest and most diverse market in Poland: differences in rents and availability between districts are significant, and the vacancy rate has fallen to 8.59% (June 2026, OfficeList.pl data). This means a shorter list of realistic options and the need to start earlier. We also analyse your team’s commute to every location under consideration.
How much does a company relocation cost?
Beyond rent, you need to account for fit-out, furniture, IT, the move itself and the cost of handing back your existing space (make good, which can amount to 30-80% of the value of the original fit-out). We shift a significant share of the fit-out cost to the landlord: in our project for Coface, the fit-out was 100% funded from the landlord’s budget.
Relocation or renegotiation - which is more cost-effective?
Renegotiation is usually cheaper (savings of up to 40% compared with relocation) and faster (3-6 months). Relocation wins when your current space no longer fits the way your team works, the building does not meet ESG standards or market conditions are clearly better. We base the decision on data, through a stay vs go analysis.
Do you also help design and fit out the new office?
Yes. After the negotiations, we take over the design (space plan, 3D visualisations, three finish standards) and the fit-out delivery, with budget and schedule control, right up to handover of the finished office. One team and one point of contact throughout the process.
